Virtual Meeting Information

This page and others will provide a brief overview of what to expect as a committee member at a virtual meeting. Please contact us at volunteers@arrt.org if you have any questions about the information listed below.


VIRTUAL MEETING DECORUM

Here are a few important tips to consider when participating in a virtual meeting:

Attendance

When you RSVP for a virtual meeting, ARRT staff will assume that you will be at the meeting for the entire time, with the exception of the lunch break or other provided breaks. Leaving the meeting often causes disruptions and we may need to pause the meeting until you are able to return.

Location

Please participate in the meeting from an appropriate location, such as your home office, using the ARRT laptop provided. If you are unsure if your location can support the internet required, please contact us and we will assist you with this challenge. 

Headphones

You are required to use headphones during the meeting for both security and clarity. 

Webcam

We want to see you! You are required to use the webcam during all committee meetings.

Communication

At times it can be challenging to communicate with large groups during a committee meeting. We want to hear you! Utilize both the chat function and the "raise your hand" function as often as necessary. Your opinions and ideas are valuable to us. 

Meeting Attire

The dress code for this meeting is business casual. Your laptop camera needs to be on for the entire meeting.

Committee Schedule

Day One:

We ask that you log in to your laptop approximately 15 minutes before the meeting is scheduled to begin (typically 8 AM Central Time).  This will allow time to troubleshoot any issues you may experience.  Our IT department will also be on the call to assist you with any issues.  More information is provided below.  

Once all committee members are on the call, the Assessment Development Coordinator will lead the committee through introducations and a then a brief orientation to the activities for the meeting. If you are on the exam committee or standard setting committee, you may be reviewing an item pool.  An item pool is a subset of items from the item bank (the large collection of questions ARRT keeps on file). During a pool review, committee members read and comment on potential exam items. If you are on a practice analysis committee, you may be reviewing ARRT documents for revision.

The committee will break for lunch at approximately 12:00 PM Central Time.  ARRT will reimburse you for your lunch expense up to $25.  Receipts are required and an expense report will be provided. 

Following your lunch break, the committee will reconvene,  continuing the required meeting activities.  Meetings typically end by 4:00 PM Central Time depending on the pace of the activities. 

Day Two:

We will repeat many of the first day’s activities on the second day as we complete the activities that were started. If needed, we will take some time to schedule the next meeting and discuss next steps for your committee.


RSVP

When you RSVP, it indicates to our team that you are planning to attend the meeting and that you will complete all required volunteer qualifications as requested. 

The RSVP process includes several steps.

  • Click on the Committee Meeting page and find your upcoming meeting.
  • Click on the RSVP button found in the upper right corner.      
  • You will see the RSVP button turn to GREEN when the process is complete.

HONORARIUM

All committee participants will receive an honorarium of $250 per FULL day of meeting participation in appreciation of their volunteer efforts. You are required to complete the Form W-9 qualification and Direct Deposit Authorization in order to receive the honorarium. Please contact us if you wish to waive the honorarium. ARRT pays all honorariums through direct deposit only (no checks will be sent).


ARRT LAPTOP

Laptop Shipping

We will ship an ARRT laptop, mouse, and headphones two weeks before the committee meeting. Before the laptop is shipped, you must fill out a brief online form to verify the shipping address. We use FedEx and they require an adult signature to deliver the laptop.

You will be notified via email with essential login details once the laptop has been shipped. PLEASE mark the email as important to ensure it is easy to locate.

Please return the laptop, mouse, and headphones to ARRT via FedEx within two business days following the meeting. Use the prepaid return shipping label included with the laptop. You can schedule a pickup from FedEx using the tracking number on the return label; ARRT pays all FedEx fees. Additionally, you are eligible for mileage reimbursement for travel to and from any FedEx or affiliated location. 

AirTag

To assist with FedEx tracking, the laptop case will contain an Apple AirTag that will beep. If you have an iPhone, you may get an alert when it is near the laptop.

Computer Software

Necessary software will be preloaded on the laptop. ARRT will provide your username and password prior to the meeting.

Laptop Case Tips

    • Lift ALL latches completely. There is one on each side of the case and two by the handle.
    • Slide the raised square button next to the dial code to the right.
    • The lock on the left will open and you should be able to open the case. If the lock doesn't open, press the lock in while you slide the raised square button.
    • PLEASE DO NOT break the lock or case, if the lock gets stuck contact the APA for help.

Meeting Software - Microsoft Teams

ARRT facilitates all meetings using Microsoft Teams. If you would like to try out Microsoft Teams ahead of time, our staff can set up a meeting time and you can test it on one of your personal devices, such as a laptop or phone. 

Teams Meeting Invitation

Your Assessment Development Coordinator will be sending out a Teams meeting invitation a few days before the meeting. Please plan to log into Teams 10-15 minutes before the start of the meeting so that we can resolve any issues prior to the scheduled start time. If you do not receive it, please email us as soon as possible.
