Travel Information for In-Person Meetings
The following information is an overview of what to expect when traveling to ARRT Headquarters in St. Paul, Minnesota.
We require that you review the entire Volunteer Travel Policy (effective July 1, 2025) before you make any travel arrangements.
The Volunteer Travel Policy will be deferred to when there is a discrepancy.

REAL ID
On May 7, 2025, U.S. travelers must be REAL ID compliant to board domestic flights. If you are unsure whether your driver's license is REAL ID compliant, you may visit the Department of Homeland Security's REAL ID website for additional information. If you have a passport, be sure to travel with that. If you have any questions, please contact our Meeting and Event Planning Manager, Mitch Biersner, via email at mitch.biersner@arrt.org.
WE HANDLE YOUR TRAVEL ARRANGEMENTS
ARRT’s travel agency, Travel Leaders, will work with you to schedule the best and most economic flights possible. They will bill ARRT directly. ARRT will reserve a hotel room for you at a hotel near the airport, ARRT headquarters, and a variety of local restaurants.
- ARRT pays the cost of your coach-class flight. If you choose to bring a guest, Travel Leaders can assist you and will coordinate alternate payment for their itinerary.
- While we encourage committee members to focus on building professional relationships and planned meeting activities, we kindly request that you consider the nature of the meeting before deciding to bring a guest to Minnesota. Please note that guest expenses will not be covered by ARRT.
- Please make your travel arrangements as soon as you receive an email from ARRT with instructions to do so. The cut-off to arrange travel is 60 days before the meeting.
- ARRT is able to provide a Travel Insurance Policy at no cost to you. Here is information about the Travel Insurance Beneficiary Form qualification.
ABOUT HOTEL ACCOMMODATIONS
FAIRFIELD INN & SUITES MINNEAPOLIS-ST. PAUL AIRPORT
- Call 651-454-1978 and let the front desk agent know you are ready to be picked up at the airport. You need to specify which terminal you are at. Please already have your bags before calling.
- At either terminal, you will need to cross the street (NOT at street level) via the tunnel at Terminal One or the skyway at Terminal Two and wait in the specified area. There are signs to follow to the shuttle area. Be prepared to wait up to 20 minutes.
- The shuttle van will be either blue or white with large lettering saying, "Fairfield Inn by Marriott Minneapolis-St. Paul Airport - Mendota Heights."
- Please be aware: the airplane traffic can, at times, be quite loud at all hours of the day. Other times you may not notice it at all. Weather, flight patterns/approach to the airport, etc., can affect noise levels. You may want to bring earplugs with you just in case, and the front desk can provide a pair if you forget.
- All public facilities in Minnesota are smoke-free, including your hotel room. If you violate this policy, you will be charged a fee that you will be responsible for paying.
- The Fairfield Inn by Marriott provides a complimentary breakfast served daily from 6 a.m. until 10 a.m. They also have a market with snacks, meals, and items you may have forgotten.

GROUND TRANSPORTATION
If you choose to drive rather than fly, ARRT reimburses mileage at the IRS allowable rate in effect at the time of travel. The refundable amount limit is the lesser of mileage or cost of a coach-class nonrefundable airline ticket that would have been purchased 60 days prior to the first day of the meeting.
OTHER EXPENSES COVERED BY ARRT
Beginning July 1, 2025, ARRT will follow the GSA per diem rates for reimbursement of meals and incidental expenses. For more information refer to the Volunteer Travel Policy
