Travel Information for In-Person Meetings
Travel Overview
When attending in-person meetings at ARRT Headquarters in St. Paul, MN, please review the Volunteer Travel Policy (effective July 1, 2025) before making any arrangements. This policy will be used to resolve any discrepancies.
REAL ID Reminder
Starting May 7, 2025, U.S. travelers must have a REAL ID-compliant driver's license to board domestic flights.

- If you have a passport, bring it as backup.

ARRT Handles Your Travel
- Flights: ARRT’s travel agency, Travel Leaders, will book your coach-class flight and bill ARRT directly.
- Hotel: ARRT will reserve a room for you near the airport and headquarters.
- Guests: While we encourage committee members to focus on building professional relationships and planned meeting activities, we kindly request that you consider the nature of the meeting before deciding to bring a guest to Minnesota. Please note that ARRT will not cover guest expenses.
- Booking Deadline: Please book travel within 60 days of receiving ARRT’s travel email.
- Travel Insurance: ARRT provides coverage at no cost. Details are in the Travel Insurance Beneficiary Form.
Hotel Details
Fairfield Inn & Suites Minneapolis-St. Paul Airport
- Shuttle pickup: Call 651-454-1978 to request a pickup. Specify your terminal and have your bags ready.
- Shuttle wait time: Up to 20 minutes. Look for a blue or white van with “Fairfield Inn by Marriott” signage.
- Noise Alert: Airplane traffic near the hotel may be loud. Bring earplugs or request a pair at the front desk.
- Smoke-Free: All Minnesota public spaces, including hotel rooms, are smoke-free. Violations incur a fee that you must pay.
- Amenities: Free breakfast (6–10 a.m.), snack market, and essentials available.
Driving Instead of Flying
If you drive, ARRT reimburses mileage at the current IRS rate.
Reimbursement is capped at the lower of:
- Your mileage cost
- The cost of a coach-class flight booked 60 days before the meeting
Meals and Incidentals
Starting July 1, 2025, ARRT follows GSA per diem rates for meal and incidental reimbursements.
